Summary
The Rackham Graduate School seeks a Student Administration Assistant Intermediate (Student Records Specialist) to serve as a member of the Admissions, Academic Records & Dissertation team.
The Rackham Graduate School's Admissions, Academic Records & Dissertation team strives to be a consistent partner within the Rackham Graduate School community by delivering timely, accurate, and effective admissions & academic records support. We seek a self-motivated, highly responsible and detail-oriented, Student Records Specialist to deliver the highest level of excellence and professionalism as a key member of the talented graduate student services team. The Student Records Specialist will work closely with students, graduate program coordinators, faculty, staff and deans to provide advising, consultation, guidance and other services related to academic policy and academic record procedures. Judgment and discretion in the execution of responsibilities are exercised within established policies and procedures.

Responsibilities*
Job responsibilities include but are not limited to:
- Audit records and prepare the necessary documentation to confirm the completion of degree and certification requirements. Run error reports and correct data to ensure the accuracy of the academic record.
- Advise graduate students and departments on Rackham academic policies and graduation requirements.
- Track, review, evaluate and process requests for academic milestones and changes in registration status including academic probation, below minimum academic requirements (BMAR), advance to candidacy, detached study, dual/joint degree double counting/reduced credit, late grade changes, late drop/add, leaves of absence, and parental accommodation.
- Respond to inquiries regarding the academic calendar, curricular requirements, grading system.
- Review, evaluate and process petitions for exceptions to policy. Use judgment to determine if it is appropriate to approve, deny or escalate.
- Coordinate commencement eligibility and attendance planning and activities in coordination with the Offices of the University Registrar, University Development and Events, Rackham Communications, Information Technology, and Rackham Deans.
- Create task and deadline calendars, support the degree list development, and run attendance reports.
- Serve as liaison to Rackham programs. Assist in the planning, presentation and facilitation of the new and continuing graduate program staff and student workshops and, as needed, throughout the academic year. May train and direct work tasks of student employees.
- Use the MPathways student system, Perceptive Content Imaging system, and other online systems relevant to the graduate student requests and the academic record to enter, access, track and interpret graduate student data. Prepare queries and reports using a variety of reporting tools. Manage the upload of doctoral Not-Yet-Registered Student Group data.
- Oversee the PhD Leave of Absence process including tracking, follow-up, and collaboration with campus partners.
- Post undergraduate and graduate degrees.
- Provide service to the AARD team/office and other Rackham areas as needed.
- Provide input and ideas on business process changes and improvements. Assist with the implementation and evaluation of process changes, including the testing and implementation of new systems to provide the best possible service.
Required Qualifications*
- Associates degree or equivalent and minimum of 4 years of relevant administrative work experience is required or an equivalent combination of education and experience
- Extensive customer service and administrative support experience
- Reasonable student services records, admissions or fellowship experience
- Experience with and comfort using student information systems as well as personal computing software such as Word, Excel, and PowerPoint and the Google suite of applications (docs, sheets, etc.)
- Ability to apply reasoning and judgment using policies and systems to identify and resolve complex inquiries and problems.
- Demonstrated ability to exercise a positive, work-oriented attitude, initiative, independent judgment, tact, diplomacy, and follow-through to plan, organize and manage a large and diverse workload with excellent attention to detail and ability to meet deadlines in a timely manner
- Excellent interpersonal skills and the ability to work and communicate effectively with a diverse population of students, faculty, and staff while maintaining a professional demeanor
- Strong written and oral communications skills, including the ability to maintain confidentiality in matters of a sensitive or confidential nature.
- Excellent organization skills including the ability to work collaboratively in a team environment and to problem solve
- Ability to understand diverse perspectives and acknowledge the significance of differences and complexities in backgrounds, cultures, values, and viewpoints as the foundation for an inclusive environment.
Desired Qualifications*
- Bachelors degree
- 2-4 years of student services experience
- Experience with MPathways, Perceptive Content data management tools, and Business Objects
- Considerable knowledge of Graduate School student services
- Understanding of University and Rackham policies and procedures
- Experience in or working with a Rackham graduate program.
